Closing the loop is the visible act of showing employees that their feedback was heard, considered and used.

What employees need to hear

Timing principle

Do not wait until every action is fully designed. A timely first response builds trust. It is acceptable to say what has been decided, what is still being explored and when employees will hear more.

Close-the-loop rhythm

  • Initial response: within one month of results being received.
  • Action plan update: once priorities and owners are agreed.
  • Progress update: quarterly or aligned to existing business planning rhythms.
  • Pulse or follow-up: only where there is a clear purpose and capacity to respond.
